Job description

Water Leys Primary School is seeking to appoint a School Administrator. This is a key role at the heart of our school’s daily operation. We are seeking a friendly, organised and highly professional Office Administrator to join our dedicated team. This is an exciting opportunity for someone who enjoys working with people, thrives in a busy environment and takes pride in providing an efficient and welcoming front-of-house service. The successful candidate will play a key role in the day-to-day running of the school office, supporting pupils, families and staff while ensuring administrative systems run smoothly and efficiently. You will be the welcoming face and voice of Water Leys, demonstrating professionalism, discretion and a genuine commitment to delivering excellent service. You will share our belief that every child deserves the very best and understand that the work of the school office plays an essential role in helping children feel safe, valued and ready to learn. We are looking for someone who has: Experience working in a similar administrative role. The ability to work collaboratively and positively with others. Excellent organisational and time‑management skills. Proven ability in the use of It application including but not limited to Microsoft Office. Strong communication and interpersonal skills. A good level of literacy and numeracy. A positive, flexible attitude and a professional, common‑sense approach. A proactive mindset and willingness to take on new tasks. High levels of accuracy and the ability to meet deadlines. High standards of behaviour and professionalism. A commitment to forming and maintaining appropriate relationships and boundaries with pupils, parents and colleagues. A commitment to the school’s vision and CARE values. A dedication to safeguarding and promoting the welfare of children. Summary of main duties and responsibilities Responsibilities include, but are not limited to: Greet all visitors, parents, pupils, and contractors in a friendly and professional manner, ensuring they follow safeguarding protocols. Monitor and maintain an accurate record of pupil attendance, producing reports as necessary. Monitor the late arrival of pupils and contact parents/carers to identify reasons for non-attendance, ensuring all safeguarding procedures are followed. Manage the admission arrangements of all pupils new to the school. Book school meals, liaise with the school kitchen and the catering provider to coordinate menus, address any dietary or allergy needs, and maintain a consistent, high‑quality meal service for pupils. Maintain pupils’ medical plans to ensure that these are kept up to date and communicated effectively to all key staff members so that appropriate support can be provided at all times. Assist with the administration of organising parents’ evenings. Updating all internal pupil information Distribute school reports and assessment results via the school’s communication system. Write and send email responses that are professional and uphold the school’s vision and values Update and distribute online and offline communications (e.g. letters, newsletters, social media posts, etc.) to parents, staff and other stakeholders Closing date for receipt of applications is 9am, Friday 4th September 2026.
